Consulting

This consulting package identifies where your board is exposed and defines exactly what needs to be done to close those gaps. We provide clear guidance on what to do and why. Then your board can use your technical resource or take a self-service approach to handle the implementation.

$500.

Includes one comprehensive assessment meeting to evaluate your board’s current exposure and needs.

1. Assessment

We uncover where your HOA’s sensitive data is at risk, highlight the exposure, and show you how to protect it.

2. Board Communications

We evaluate your board’s communication, identify the gaps that create risk, and show you exactly what to do to ensure every email is properly retained and accessible when you need it.

3. Cloud services

We provide a roadmap for securely storing your HOA data in the cloud—protecting it with encryption, controlled access, and built-in redundancy, so your files remain safe and recoverable if anything is lost or deleted.

4. Data Governance

We define how your board manages and controls its data so everything stays organized, consistent, and with the association, not tied to individual board members or dependent on any one provider.

Build Your System

This package includes everything from the consulting package, along with full implementation. We identify where your board is exposed, define what needs to be done, and build out your system for you. Once complete, your board takes over with a fully organized and ready-to-use system.

$1,500.

Includes full system setup. If you’ve already paid for consulting, that amount is credited toward this package.

1. Domain Setup

We secure and set up a dedicated domain for your HOA, giving your board full ownership and control over its digital presence. This becomes the foundation for your email, data, and long-term continuity.

2. Board Email System

We set up a professional email system with a trusted provider, creating role-based accounts (President, Treasurer, etc.) so communication stays with the board—not individuals—and is retained over time.

3. Secure Cloud Storage

We build out a secure cloud environment to store your documents, invoices, PII, and historical records—keeping everything organized, protected, and accessible when needed.

4. File Management System

We design and organize your file structure so documents are easy to find and consistently stored. We also provide clear instructions so your board can manage and maintain the system moving forward.

Ongoing System Management

Once your system is built, we take over ongoing management. We serve as the administrator for your email and cloud environment, keeping everything organized, secure, and running efficiently. We also process your board packets—breaking out invoices, bids, financials, and documents into your system—so your data stays clean and easy to access. Your board owns the system—we keep it running.

$350. - $750. Month

12-month agreement. Monthly pricing is based on the size of your community:

  • 01–75 doors: $350/month
  • 76–175 doors: $500/month
  • 176–300 doors: $750/month

1. Account Administration

We manage your email and cloud accounts—updating passwords, adding or removing board members, and transferring access when roles change—so nothing is lost during transitions.

2. Board Packet Processing

We file your monthly board packets and separate out invoices, vendor documents, financials, and key records—filing everything into your system so it stays organized and easy to find.

3. Technical Support

We provide ongoing support when issues come up—helping resolve access problems, system questions, or technical challenges so your board isn’t stuck trying to figure it out.

4. System Oversight

We regularly review your system to make sure everything stays organized, secure, and working as intended. We identify gaps, clean up inconsistencies, and recommend improvements so your system continues to perform over time.
